After connecting FreeAgent to Buddy, you will be able to set up journaling rules and map costs to the respective ledger.
Importing Ledgers
To start setting up, head to the Ledgers tab, and click Import.
This will load your Ledgers from FreeAgent into Buddy, which will allow you to use these for journaling rules.
Importing Cost Centres
If the company you are integrating also uses Cost Ccost centres, you can import cost centres from FreeAgent.
Journals
Once the Ledgers and Cost Centres have been successfully imported, you can map costs to a default ledger and cost centre.
You can map different costs separately, such as Gross Wages, NIC, PAYE, Pensions, and other deductions. This initial mapping is referred to as the default mapping, as you can set advanced rules to customise allocation of either ledgers and/or cost centres
Journal Rules
Under the Rules section, you can apply complex rules that defy the default mapping set.
Apply Custom Conditions
You can apply conditions based on the employee name, their role, the department in which they are assigned, or the Pay Item itself.
These conditions can be combined, for example, both the Department and Role have to match the desired requirement.
Custom Journaling
For these conditions, you can set a combined of actions, such as allocating their costs to a specific centre or ledger.
You may also choose the percentage that would go in a specific ledger or centre. This means you can have a specific condition where 80% of its cost is reported into a ledger, and 20% in another.
