Validation of Imported Payslips
When starting out on Buddy within the payroll year, you might want to Import Previous Payrolls into Buddy, rather than re-calculated everything from scratch. During the import process, Buddy will validate your information such as SSC and Maternity Fund to minimise the importation of incorrect calculations.
If you encounter any errors, refer to the below codes to understand what you require to update within the import file.
missingFields
This error means that you are missing one of the required fields as noted. Each field needs to be filed in:
- Pay Schedule
- Pay Period
- Year
- Base Salary
- Basic Hours
- Net Pay
multipleEmployees
This error means that there are multiple employees with the same Name and Surname. In these cases, make sure to instead input the ID number so that Buddy can distinguish between these employees.
employeeNotFound
The employee was not found in Buddy Database, employee must be created in Buddy before import. If you have already added the employee, make sure you are using the same ID or exact name between Buddy and the excel sheet.
payScheduleNotFound
Pay schedule chosen in import template does not match the choices on Buddy, make sure to insert the correct values based on the existing data on Buddy.
Do note that the template should have this as a drop-down selected based on your existing Pay Schedules.
templateNoMatch
One of the allowances or overtime rates in the import file does not exist on Buddy. Make sure that the allowance is written correctly without any unnecessary spaces and that this is the same in Buddy's Settings.
missingOTValues
This error is due to having Overtime Tax inserted in the import sheet without including the amount of Overtime Value earned.
unworkedWeeksTooHigh
This validation error relates to having the 'unworked weeks' field higher than the possible amount. For example, February 2024 has 4 Mondays, therefore the maximum is 4 Unworked Weeks. Check that the inserted value is respective to the available Working Week in the pay period.
taxAmountsNoMatch
This validation error comes up when the inserted values for the SSC and MFC do not match with Buddy's calculation.
In order to fix issue, you would need to update the SSC and MFC values within the import template. You could also double check that you have inserted the correct basic pay and the correct number of weeks not worked. If you are certain that these are correct, you should also check the employee's salary and tax details on Buddy to ensure these settings are set as expected.
An alternative is to update the Weekly Wage in the import template. This would ensure that if Buddy's calculation is different, then you can use the Weekly Wage that your original SSC was calculated open, if you are certain your calculation is up to par with the original values.
otDiffHigh - Warning
If the Overtime Tax is significantly different than the expected 15%, you will receive a warning but you will still be allowed to import.
ptQualifiedDiffHigh - Warning
If the Part-Time Qualified Tax is significantly different than the expected 10%, you will receive a warning but you will still be allowed to import.
